Refund Policy

CYPHEX Agency structures clear policies regarding refunds, custom project milestones, and software licensing models.

1. Custom Engineering Milestone Contracts

Custom client builds (such as e-commerce scaling, plugin design, and headless architectures) are structured around clear deliverables:

  • Non-Refundable Retainer: Scoping phases and initiation milestones require an upfront deposit. This deposit is non-refundable once engineering analysis has commenced.
  • Milestone Approvals: Payments completed upon the completion and approval of specific milestones (e.g., prototype approval, API integration, QA delivery) are final.
  • Termination Terms: If a project is cancelled prior to completion, the client will only be billed for hours logged or milestones achieved up to the date of formal cancellation.

2. SaaS & Software Licensing

Subscriptions to CYPHEX proprietary products (such as the Voxis panel or Image Hunter plugin licenses) adhere to the following refund standards:

  • Monthly Subscriptions: Billed in advance every 30 days. You may cancel at any time. Cancelled subscriptions remain active until the end of the current billing cycle; no partial refunds are issued.
  • Annual Plans: Eligible for a full refund within 14 days of purchase, provided the API integration tokens have not been deployed in active production environments.

3. Billing Inquiries & Disputes

If you believe there is an error in an invoice or billing receipt, please notify our finance desk within 15 days of the charge date at support@cyphex.agency. We audit all disputes promptly.
